ASSISTANT PROPERTY & REAL ESTATE MANAGER

POSITION OVERVIEW

We are seeking a highly organized, professional, and adaptable individual to join our team as an Assistant Property & Real Estate Manager. This vital role provides administrative, property management, and real estate support to our leadership team, brokers, property owners, and guests.

As a key member of our organization, you will play an integral role in bridging our Property Management and Real Estate divisions. The ideal candidate is detail-oriented, self-motivated, and thrives in a fast-paced environment where no two days are the same.

Key Responsibilities

Real Estate Administrative Support

  • Provide administrative support to brokers, including contract management, sales files, listing materials, and database maintenance.
  • Greet clients, answer phones, and coordinate showings for both company and outside broker listings.
  • Prepare listing presentations, marketing materials, postcards, and mailers.
  • Accurately enter and maintain listings in MLS, Streamline, DASH, and other relevant platforms.
  • Organize and maintain master files, closing packets, and broker compliance documentation.
  • Communicate with title companies regarding contracts, deadlines, and closing requirements.
  • Assist with internal reporting, including Pending Sales Reports, Rental Reports, Showings Logs, and Market Share Reports.

Property Management Support

  • Assist the General Manager and Directors of Operations with HOA and property management tasks.
  • Coordinate owner and vacation rental reservations, managing bookings, housekeeping requests, and system updates.
  • Prepare, distribute, and maintain HOA documents, including meeting notices, proxies, agendas, budgets, insurance certificates, and meeting minutes.
  • Address owner inquiries regarding statements and general communications.
  • Support Short-Term Rental (STR) permitting and annual license renewals.
  • Coordinate with contractors for approved proposals and scheduling.
  • Manage package deliveries and tracking for owners and guests.
  • Provide phone support and backup assistance for guests and owners when leadership is unavailable.
  • Support Guest Services, assisting with front desk operations as needed.

Office Operations

  • Oversee daily opening and closing procedures for the office.
  • Maintain a clean, organized, and professional office environment.
  • Manage office supplies, key inventory, equipment, brochures, and marketing materials.
  • Assist with light maintenance tasks, such as seasonal décor, sweeping sidewalks, and ensuring the office’s overall presentation.
  • Support brokers and office staff with special projects and operational needs.

Qualifications

  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities with attention to detail.
  • Proficient in Outlook, Word, Excel, and property/real estate software (MLS, Streamline, CTM eContracts, AJAX, etc).
  • Familiarity with real estate documents and procedures is preferred.
  • Ability to work independently and collaboratively.
  • Colorado Real Estate License preferred (or ability to obtain).
  • Ability to lift up to 40 lbs and perform light maintenance duties when needed.

Job Type: Full-time  

Salary: $50,000.00 plus commission.
