Rental and Cancellation Policies

CONDOMINIUMS AND HOMES RENTAL AND CANCELLATION POLICY:

FOR SUMMER 2021
(arrivals between May 1, 2021 - Oct. 31, 2021)

Deposit Payment: 50% of the total, inclusive of tax and service fee, is due within 10 days of the initial request for reservation. If reservation is made within the final-payment-due time period, full payment is required at the time of booking.

Final Payment: Remaining 50% of the total, inclusive of tax and service fee, is due:

  • 30 days prior to the arrival date for all short-term rentals
  • 120 days prior to arrival for all reservations of 30 days or longer

Reservations with stays of 30 days or longer require payment by check or wire transfer.

Cancellation Policy: 90% of the gross lodging will be refunded if notice of cancellation is made:

  • Under the terms outlined in our COVID-19 Cancellation Terms (see below)
  • 30 days prior to the arrival date for all short-term rentals
  • 120 days prior to arrival for all reservations of 30 days or longer

Full forfeiture of entire amount of reservation will apply if reservation is cancelled:

  • Within 30 days of the arrival date for all short-term rentals
  • Within 120 days of the arrival date for all reservations of 30 days or longer

If cancelled property is re-rented during the cancelled time period, refund will be made for the amount re-rented less 10%.

FOR WINTER 2021-22
(arrivals between Nov. 1, 2021 - April 30, 2022)

Deposit Payment: We are accepting deferred deposits for non-holiday reservations. 50% of the total, inclusive of tax and service fee, is due:

  • By Oct. 15, 2021 for all short-term rentals for time periods other than Christmas and New Year's
  • Within 10 days of the initial request for reservation for all Christmas and New Year's reservations

If reservation is made within the final-payment-due time period, full payment is required at the time of booking.

Final Payment: Remaining 50% of the total, inclusive of tax and service fee, is due:

  • By Oct. 15, 2021 for Christmas and New Year's rentals

In the case of the bulleted instances below, 90% of the gross lodging will be refunded to the guest with written notice at least 24 hours in advance of arrival:

  • Government-mandated travel shutdown (guest's place of residence or Aspen)
  • Government-mandated shutdown of lodging operations in Aspen and/or total Aspen Snowmass ski resort closure (winter only)

TRAVEL INSURANCE

We strongly recommend the purchase of travel insurance to protect your Aspen vacation, especially during pandemic conditions. Purchase a Trip Preserver package, our choice for vacation rental travel insurance with coverage for trip cancellation and trip interruption events. Travel insurance must be purchased by the final deposit due-date. For more information, contact our Reservations Department at (970) 920-2010 or reservations@friasaproperties.com.

Covered trip cancellation / interruption events include sickness, cancelled flights due to inclement weather, injury, etc. Additionally, below are a few specific events that may be eligible for reimbursement:

  • A guest, traveling companion, or family member not traveling with the group, is diagnosed with a sickness, including COVID-19, and a physician restricts travel, the guest and /or traveling companion may be eligible for a reimbursement for their trip cancellation / interruption.
  • A guest or traveling companion requiring medical services, including medical needs from COVID-19 symptoms, may be entitled to $25,000.00 of paid medical expenses for medical services incurred during their vacation stay.
  • A guest or traveling companion is exposed to an infectious disease, including COVID-19, and receives a positive test accompanied by an attending physician's written restriction of travel, the guest and / or traveling companion may be eligible for a reimbursement for their trip cancellation / interruption. Please note, a self-quarantine is not a covered event.
  • A guest or traveling companion experiencing a job loss after one full year of employment (excluding self- employment) may be eligible for a reimbursement for their trip cancellation/interruption.

Taxes: Taxes and service fees are not included in the quoted nightly rates.

Housekeeping Services: Light housekeeping services are provided for economy and standard rentals. (Deluxe and luxury rentals receive full daily housekeeping services.) Housekeepers visit rentals daily to make beds, replenish towels, and remove trash. For all housekeeping services, guests are asked to vacate their unit while housekeepers are working.

Check-In/Check-Out Time: Check-in time is 4 p.m., and check-out time is 10 a.m. Early check-ins and late check-outs cannot be accommodated at this time. If a guest stays beyond check-out time, we reserve the right to charge a fee of up to the full nightly rate.

Airport Transportation: Complimentary Aspen Airport transfers must be reserved a minimum of 24 hours prior to travel. Contact our front desk at (970) 920-2000 for assistance. You may also contact Smiddy Limousine, our contracted provider, directly at (888) 925-7505. Tell them you are a guest of Frias Properties.

Colorado Mountain Express can accommodate your Denver International Airport or Eagle/Vail airport transfer needs (self-pay). Visit ColoradoMountainExpress.com, or contact our concierge for additional information.

Late Check-In Information: Should you arrive after hours, please use the courtesy phone located to next to the front office door. (Please contact the front desk for current season hours during your stay.) This phone will ring directly to our night service representative, who then will meet you at the office. Should you want to reach the night service as you are driving in, please call (866) 315-2231.

Condominium Disclosure: Frias Properties of Aspen is a rental agent for condominiums and hotels that are independently owned. The nature of this relationship is that we cannot completely control the use of the accommodations we manage. Although problems are rarely encountered, we must reserve the right to change condominiums up to and including day of arrival.

Showings: We reserve the right to show any unit for rental or for sale on a 24-hour notice from 9 a.m. to 5 p.m. each day. We will make every effort to contact the guest and arrange the showing with them.

Pets/Service Dogs: Pets are not permitted in our vacation rentals. Certain rentals will consider pets with approval and security deposit. If a pet is discovered in a rental, there will be a minimum fee of $500 per night. Service dogs must be disclosed to Frias Properties, and required paperwork must be completed in advance of arrival. Any damage caused by a service animal will result in a minimum $500 fee for cleaning or repairs.

Smoking: All properties are 100% non-smoking.

Independence Square Hotel

INDEPENDENCE SQUARE RENTAL AND CANCELLATION POLICY

Airport Transportation: Transportation fees are not included with Independence Square reservations. Should you need assistance setting up your airport transfers, please call the front desk.

Late Check-In Information: Should you arrive after hours, please pick up your check in packet located in the after-hours drop box. (Please contact the front desk for current season hours during your stay.) Should you need additional assistance, please use the phone located at the front door to call our night service at (866) 315-2231.

Sports Equipment Storage: Please be courteous to our owners and use the locker area for sporting equipment such as skis, snowboards, ski boots, poles, bicycles, cleated shoes and all other outdoor items. These items are prohibited from the lodge rooms. Please feel free to call in advance or check with the front desk upon arrival to be familiarized with our facility's storage.

Condominium Disclosure: Frias Properties of Aspen is a rental agent for condominiums and hotels that are independently owned.
